Privacy Policy

This Privacy Policy explains how TrustCheck Nigeria Ltd. ("TrustCheck", "we", "us", "our") collects, uses, shares and protects personal information when you use our website, contact us or ask us to carry out a verification. It should be read with our Data Protection Notice, Cookie Policy and Terms of Service. Last updated: 8 October 2026.

In short: we collect only what we need to carry out the check you ask for, we keep it safe, we do not sell it, and you can ask us about it at any time.

1. Who we are

TrustCheck Nigeria Ltd. is a Nigerian company that provides physical verification and due-diligence services. For the personal information described in this policy, we decide how and why it is used. Contact: trustchecknigerialtd@gmail.com or WhatsApp +234 810 673 3944.

2. Information we collect

  • From clients and website visitors: name, phone number, email address, the capacity in which you are asking (for example individual or company), location, what you want checked, messages, payment and invoice details, and any documents or photos you send us.
  • About the people, businesses, products and properties being verified: names, addresses, phone numbers, identity and employment details, guarantor and referee details, business registration details, property and product details, photographs, and notes of what our field representatives see, hear and are told during a visit.
  • From referees, guarantors, neighbours, employers and other people we contact as part of an agreed check, limited to what is needed to confirm the facts.
  • From public and official sources that anyone may lawfully access or that we may lawfully use, for example business registry information.
  • From our website: technical data such as device, browser, approximate location, pages visited and buttons clicked. We collect this through analytics tools only after you accept analytics cookies (see our Cookie Policy). Our website also loads fonts from Google and shows a Google Map on the Contact page, which means your IP address is sent to Google when those load.

We do not ask for sensitive personal data (such as health, religion, political opinion or biometric data) unless it is strictly needed for an agreed check and there is a lawful basis. We do not accept requests to verify, trace or locate children.

3. Why we use it, and our lawful basis

  • To carry out the verification you request, produce the report and answer your questions. Basis: performing our contract with you, and our legitimate interest in doing the work properly.
  • To contact you about your request, quote, payment and report. Basis: contract and legitimate interest.
  • To keep records, take payment, handle disputes and protect our legal rights. Basis: legal obligation and legitimate interest.
  • To prevent misuse of our service, for example requests that look unlawful or aimed at harassing someone. Basis: legitimate interest and legal obligation.
  • To understand how our website is used and improve it, only where you accept analytics cookies. Basis: your consent, which you can withdraw at any time.
  • To send you information about our services, only where you have asked for it or agreed to receive it. You can opt out at any time.

We do not make decisions about people by fully automated means. A trained person reviews every report.

4. Consent and the people we are asked to verify

If you ask us to verify another person, you confirm that you have a lawful reason to request the check, that you are authorised to give us their details, and that you will make sure the person has been told about the check, or has agreed to it, where the law requires. We may ask you to confirm this in writing, and we may decline or stop a check where this has not been done or where the purpose appears unlawful or unfair. We use the information we collect about that person only for the agreed check.

5. Who we share information with

  • The client who requested the check receives the report. We do not give a report to anyone else unless the client instructs us in writing or the law requires it.
  • Field representatives and associates who work for us or with us on the assignment, bound by confidentiality duties.
  • Service providers that help us run the business, such as messaging platforms (WhatsApp), email, and the form service (FormSubmit) that delivers website form messages to our email, website hosting, analytics and payment or accounting providers. They may use the information only to provide their service to us.
  • Professional advisers, regulators, courts, law enforcement and other authorities where the law requires us to, or where we need to establish, exercise or defend legal claims.
  • A buyer or successor if our business is sold or restructured, under the same protections.

We do not sell personal information.

6. Transfers outside Nigeria

Some of our providers (for example messaging, email and hosting providers) may process information outside Nigeria. Where that happens, we take steps to make sure the information remains protected as the Nigeria Data Protection Act 2023 and related rules require. Clients outside Nigeria, including diaspora clients, understand that their information will be handled in Nigeria and by those providers.

7. How long we keep it

  • Enquiries that do not become an assignment: up to 12 months.
  • Reports, photographs, notes and personal details about the people checked: up to 24 months after the report is delivered, then deleted or anonymised, unless needed for a dispute, claim, investigation or legal duty.
  • Invoices, payment records and contracts: up to six years, or longer where the law requires.
  • Analytics data: as set by the analytics provider settings we use, no longer than 26 months.

If information is needed for a legal claim or the law requires us to keep it longer, we keep it for as long as that need lasts.

8. Security

We use reasonable technical and organisational measures to protect personal information, including limiting access to people who need it, using passwords and device protection, and keeping evidence in controlled storage. No system is perfectly secure and we cannot guarantee absolute security. If a security incident puts your rights at risk, we will act promptly and notify the Nigeria Data Protection Commission and affected people where the law requires.

9. Your rights

Subject to the law, you may ask us to confirm whether we hold your personal information, give you a copy, correct it, delete it, restrict or stop certain uses, move it to another provider, or stop sending you marketing. Where we rely on your consent you may withdraw it at any time; this does not affect what we did before. We may need to confirm your identity before acting, and we may refuse a request where the law allows or requires, for example where the information is needed for a legal claim or relates to another person. To make a request, email trustchecknigerialtd@gmail.com. We aim to respond within 30 days. You also have the right to complain to the Nigeria Data Protection Commission.

10. Children

Our website and services are for adults. We do not knowingly collect information from children through the website, and we do not carry out checks that trace or locate children.

11. Links to other sites

Our website links to WhatsApp, Instagram, Facebook and other sites. They have their own privacy practices, which we do not control. Please read them before you share information there.
